Privacy notice

How we handle the information families share with us.

This notice explains how the American Young Artists Association (“AYA”, “we”) collects and uses personal information through the AYA Youth website and application process. We ask that all information be submitted by, or with the consent of, a parent or legal guardian.

What we collect

When you send an inquiry or application we may receive: the applicant’s name and age; the parent or guardian’s name, relationship, email address, and phone number; city and country; discipline, instrument, voice type, or dance form; current teacher, studio, or school; an artistic biography, repertoire, and goals; links to audition recordings; and a headshot or artist photograph where provided.

How we use it

To review applications and audition materials; to communicate with the parent or guardian about the application, planning, rehearsals, and performances; to produce program books and performance materials for accepted artists; and to meet legal and safeguarding obligations. We do not sell personal information.

Recordings and images

Audition recordings are used only for artistic review. Performance photography or video documentation of accepted artists is made where available and used with the family’s written consent.

Who sees it

Members of the AYA Artistic Committee and AYA Youth staff involved in review, planning, and production; service providers who host our website and forms; and, where required, legal authorities. Recordings and personal details are not shared publicly.

Retention

Application materials for applicants who are not accepted are deleted within a reasonable period after the review cycle. Records for accepted artists are kept for the duration of participation and as required for legal and administrative purposes.

Your choices

A parent or guardian may ask to see, correct, or delete the information we hold about an applicant, or withdraw consent, by writing to info@americanyoungartists.org.

Website

This website does not use advertising trackers. It may keep a small amount of information in your browser to remember your preferences. Our hosting provider records standard server logs.
